Executive Creative Assistant

OVERVIEW


We are seeking a confident and detail-oriented Personal/Executive Assistant. This candidate will assist the CEO of two small and growing private design/hospitality companies in the Los Angeles/Central California area. The ideal applicant will be comfortable providing both personal and business support. Ideal candidate would possess a flexible attitude, strong communication skills, professional interpersonal skills and should be proactive and resourceful. *The position includes travel two hours from Los Angeles at times so having access to a car is required.

Cuyama Buckhorn is an iconic roadside property originally built in 1952 as the community hub for the valley of Cuyama, at a time when New Cuyama was a booming oil town.

We offer an intimate getaway filled with thoughtfully crafted meals, a bar where conversation flows effortlessly, 21 newly refined rooms with stylistic nods to the past, and 2 acres of artfully designed outdoor space. Our Enchanted Valley sits amidst star-filled night skies for some of the best stargazing in California and pastoral golden mountains boasting hiking trails, breathtaking wildflowers, and wilderness. RESPONSIBILITIES

  • Organize and schedule all conference calls, meetings, personal appointments, events
  • Create and update daily task list
  • Calendar management
  • Create presentations and gather materials for meetings
  • File emails and meeting materials
  • Attend meetings, take notes and execute on action items
  • Coordinate and effectively communicate with other staff in both businesses
  • Assist with personal tasks, such as grocery shopping, meal ordering/pick-up, dry cleaning, mailing/returning packages, taking car to car wash/oil changes, etc.
  • Light bookkeeping such as; collecting receipts, filing receipts, maintaining and tracking expenses, inputting expenses into spreadsheets/ and coordinating with accountants
  • Perform research on various subjects, including but not limited to, insurance, compliance and regulations, and personal needs such as family insurance, travel, etc.
  • Household management and coordination
  • Type, compile and prepare reports, presentations, and correspondence
  • Travel with CEO to remote projects if needed

QUALIFICATIONS / SKILLS

  • At least two (2) years of experience as a personal or administrative assistant
  • Excellent administrative and organizational skills
  • Excellent interpersonal, oral, and writing skills
  • Proficient in software such as Microsoft Word, Microsoft Excel, PowerPoint, Adobe Suite
  • Comfortable with social media platforms such as Facebook, Instagram, and LinkedIn is a plus
  • Proven ability to manage multiple projects simultaneously.
  • Interest in events and party planning
  • Past experience in event planning a plus
  • Must have a valid driver’s license and reliable transportation
  • Understanding or past experience as a legal assistant a plus
  • Ability to anticipate needs and issues and address before they arise
  • Ability to work independently and on a team
  • Strong project management skills a must
